Personal Information:
Whether a Client / Customer, Supplier or Contractor, the minimum required data will be requested in order to complete the task/s required and will be used and stored as detailed in the following paragraphs.
Customers will be required to supply the following data in order to complete the tasks required.
Name:
We will require the property owners and that of their tenants or representatives (as applicable).
Contact numbers:
We will require the contact number/s of the property owners, their tenants or representatives (as applicable).
Address:
Customers will be required to provide the address of the job site. In the event that the property is tenanted or vacant and the owner does not live at the site address for any other reason and they are the person paying the invoice, they WILL be required to provide their permanent address.
If the invoice is to be paid by the tenant of the site location, then the property owner is not required to provide their permanent address.
Photographic Proof of Identification:
In some instances, due to the nature of our industry, there may be times when the customer or their representative may be required to provide photographic identification in the form of either their drivers licence or passport. This will be photographed and held on file for a minimum of 6 months.
Data required for Electronic Security Systems installation and Maintenance:
In some instances we will require information in the form of and normally limited to: Passwords, access codes and serial numbers.
How do we collect your Personal Information?
Owl Locksmiths and Security collects information in two ways:
1. Directly Provided Data:
This is when you directly choose to voluntarily provide us with the data freely in order to achieve the required result. This could be over the telephone, via email enquiry or completing the contact form on website. All this information requires a direct action by you at that time in order for us to receive it.
2. In – Directly Data sourcing:
This would be when there is insufficient data received to undertake the task.
This could be the lack of or the need to confirm a company telephone number, to obtain a postal code in the event that the caller failed to provide the required details.
At no time would any form of Data be sought that was not required to either contact the customer or confirm the site location. I.E. DOB, religious beliefs, medical history or similar private data.
How long do we keep your Personal Information for?
Owl Locksmiths and Security will not retain your personal information longer than required.
We will hold onto the information you provide either while your account is in existence, or as needed to be able to provide the Services to you.
If legally required for example by HMRC and other Government agencies to meet regulatory requirements, resolve disputes, prevent criminal activities, to enforce our Terms and Conditions or to protect the integrity of the business.

How do we use your Personal Information?
Owl Locksmiths and Security will never pass on your data whether for financial gain or for free with the exception of the Police when required as part of a criminal investigation.
Data is kept for future reference should the customer return for further work or on-going works, warranty records.
WHAT, WHY and WHERE do we store your Personal Information?
Photographic Proof of Identification:
Photographic Identification will be required in the event of such instances as gain entry to properties were the customer cannot provide prove that they own or have legal rights to enter. This proof will be held for a minimum of 6 months on our job tracking software and will be provided if requested to the Police in the event of any criminal investigation.
General data in the form of paperwork:
This would include but not be confined to invoices, job sheets, contract’s, health and safety forms in the form of printed paper and held in files.
Data stored electronically:
Data stored on our data base is duplicate of anything in the form of paper with the addition of any photographs taken of the specific jobs which could be used in the form of advertisement.
Photographs used do not identify either the individual persons or that of their address UNLESS in the form of a business where prior agreement and permission has been granted.
Data will be stored in case there is a requirement to return to site whether to undertake further works, replace failed parts or again to provide data to prevent criminal activities. There is no additional data stored that is not held in the form of paper.

Where work has been undertaken for “commercial” clients, some photos may be taken and used to advertise working for such clients and may show such items as the company building logo, vehicles or sign.
